CLAIMS PROCESSING & REPORTING

All claims are to be reported directly to H.T. Bailey using Acord Claim forms. Please do not report directly to the carrier as this may delay the process.

Upon receipt of the claim report, we will promptly forward to the applicable party handling the claim for the carrier. The carrier will then contact the insured for any additional information needed.
 

H.T. Bailey does not handle claims internally. What we do is "channel" the claim to the appropriate carrier for prompt handling. If any questions arise regarding the handling of any claim, those questions and concerns should be addressed to H.T. Bailey.

Online Claim Notification System

You can submit your claim directly to us and the insurance carrier in the event that our office is closed due to a weather-related emergency or if you had not been able to have contact with H.T. Bailey Insurance Group.

Please Note:
We ask that you only use this system if you have had no other means of contacting a Claims Representative or H.T. Bailey. Otherwise, please feel free to contact us by phone during our normal business hours (see above for contact information)


Claim Reporting Guidelines


Please include the following information with a fully completed report of loss notice:

Named Insured under the policy
 

bullet

All phone numbers for the insured and/or their designated contacts
 

bullet

Date, Time and Location of the loss or damage
 

bullet

If multiple buildings are insured under one policy, specify which building is damaged and the specific address listed on the policy
 

bullet

Description of the loss & damage
 

bullet

All coverages and applicable policy limits for the loss location including: Building, Contents, Business Income, Signs and any Additional Property Coverage
 

bullet

Location where the damaged property can be inspected, if moved from the insured location
 

bullet

A contact name and phone number at your agency
 

bullet

All GL claims need to have all completed claimant information or it cannot be processed

You, the agent, should facilitate the handling of claims to the best of your ability. If your client reports a claim to your office, a written Notice of Loss should be completed. Generally, the carriers we represent require a written Notice of Loss. The Notice of Loss should be emailed or faxed to H.T. Bailey upon completion. In the instance of a serious loss (generally involving bodily injury) we encourage immediate reporting by any means possible.

In the event a loss occurs after business hours or during the weekend, you and the insured should do whatever is necessary to prevent further damage. This may include seeking assistance from local authorities or hiring contractors to do what is needed to protect property and prevent further damage. Report a loss as soon as possible and advise what has been done, if anything. This condition is written as part of the policy. A local claims adjuster may be hired to help with this process. Following these instructions will allow all parties involved to receive/disseminate information and take the appropriate actions in the most efficient manner possible.
